BAD Software

Their "Trac" application software is useless. You spend an hour typing in the information requested on the application, you go to save it and it makes you login again. Once you've re-logged in the content of the application is gone.

Absolutely useless piece of software.

I responded to a job advertised on CW…

I responded to a job advertised on CW Jobs for a contract position with the NHS. The Civica recruitment application demanded not only date of birth (illegal) but also referee details BEFORE allowing the application to be submitted. This is shocking behaviour and very, very poor. The worst application experience I have had in 30 years. Suffice to say I didn't complete the application.

Basic platform, not user friendly, doesn’t work, no cyber security

Unfortunately my private healthcare provider engages Civica to get invoices paid. The platform is absolutely painful to use. You put in your details and it just comes up with error code after error code. The payment by phone just directs you back to the awful
platform which looks
like it has zero cyber security measures in place. Providers - avoid using this platform like the
plague - you’ll lose patients in droves.

I worked briefly at Civica Election…

I worked briefly at Civica Election Services. My experience was disappointing, mainly due to how probation was handled.

During my first month, I was almost entirely in training sessions, not doing live client work. Despite this, I was told I was “not meeting expectations” based on vague comments and hearsay rather than clear, constructive feedback. Issues raised after the fact included things like email style, seating location, or training exercises I was still learning — none of which were properly documented or explained at the time. In my view, it is unreasonable to judge someone so harshly when they are still onboarding and expected to be learning.

The dismissal process itself was also poorly handled: I was not formally invited to a probation review, had no right to be accompanied, HR was not present, and no appeal was explained in the meeting. Internal communication later confirmed that procedure was not followed correctly.

Overall, I found Civica Election Services to be unsupportive during probation, with unrealistic expectations for new hires still in training. If you are considering a role here, be aware that probation may be treated as a “test you can fail” rather than a period of development and support.

Spammers continuously send me unwanted email despite asking them and their partners more than 5 times to stop. No unsubscribe option, and theyre telling me they will keep sending messages anyway. What theyre doing is illegal, this company should be banned.

They just make sure the get their money…

They just make sure the get hold of their money as quickly as possible. After that you’re on your own. If you require copies of invoices that you paid by card forget it. Most draconian system. A shame they work for the health sector.

They act like debt collectors!

I am being harassed by Civica who act like a debt collection agency regarding a missed appointment at Fairfield Independent Hospital in St Helens with Dr Aamir Memon.
Dr Aamir Memon has instructed Civica to hound me via telephone, email and letter claiming I owe him for "private medical treatment" which did not happen as I did not attend the appointment.

Fairfield Independent Hospital have been made aware of this and are currently in the stage of investigating my complaint of harassment by this company who are being instructed by Dr Aamir Memon.

They refuse to listen when I tell them I did not attend and claim I would have been told by Fairfield Independent Hospital reception of incurring costs if I missed the appointment. This did not happen and I have my letter of confirmation of the appointment which also does not offer any information regarding this!

Fairfield Independent Hospital have told me Dr Aamir Memon does not work directly for them and is in charge of his own billing.

Im awaiting a decision into my complaint investigation into Fairfield Independent Hospital now but based on the previous replies and the ongoing harassment from Civica (they are now making threats to hand this over to a debt collection agency), Im not hopeful of a positive outcome.

I am considering my own legal action due to the stress this has caused me.

If you are a Doctor reading this I would dadvise you to use a better company or bill your own clients as this company is nothing more than a bully making threats they cant uphold. No information was ever relayed to me verbally or by letter about missed appoitments, this will prove crucial when this goes to court or faces legal action fro myself.

They behave like a debt collection agency after 10 days from invoicing

They took more than 26 weeks to invoice me (that's more than 6 months!), after my first appointment, which means my insurance won't accept the claim. Now I'm asking myself if they have an arrangement with insurance companies to wait. On top of it, they behave like a debt collection agency after 10 days of invoicing. They started chasing payment by text and email constantly. I will ask any future doctors if they use Civica for invoicing and if they do, I will find a different doctor.

Very clunky payment system

Very clunky payment system. Difficult to find on the website. Eventually resorted to phone which took ages to be answered. Whole process took far too long. Even when the phone was answered it still took a further 2-3 minutes to input numbers etc.
