The set up with Vagaro was made pretty straightforward by having Carl lead me through the journey. Nothing was roo much trouble and he was so patient with me, when I had no idea what I was doing. Now, I am confident in what ai am doing. Carl was always quick to get back to me and explained everything well so I was clear with ehat to do. I now hope to grow my business with Vera Fill my books, now thar I have been through the set up. Having someone there to talk to and ask questions to is a fantastic system. I was lucky that Carl was so empathetic and kind, as well as being so knowledgeable about Vagaro and how it works. I hope all Vagaro employees are as good as Carl. Carl is an asset to Vagaro.

DO NOT TRUST - Vagaro to have your back and have your best interests in mind! I found out the hard way. I signed on for a free trial and after just some overall time checking it out to see if it could help me, I instinctively knew this service was not needed and could not help me further in what I already was doing on my own.
I thought I had cancelled my trial, but apparently I did not and I then received a charge for two months of service for almost $50, when all I did was sign up with my name and nothing else was done. I did not ask for support and Vagaro spent no time or resources helping me or engaging with me.
Believing that there are still good people in the world and being a health, wellness, self-improvement app that promotes good will, I found that the Tech Support - JOSH H. was not caring, empathetic, understanding, or supportive. All he cared about was collecting that amount of money, which is nothing for a large company, when he easily could have refunded me that amount to leave in good faith.
I asked him more than once and called in and talked with someone who thought I should be refunded, but JOSH again said no - because my account was open for two months, even though I did not use it, try to understand how to use it, or any effort. I basically paid them $50 to have my business name on their site, with nothing set up.
How do businesses' expect to create trustworthy and caring support to small business that are struggling in this economy to generate flow. They thought it was more important to burn a bridge and write me off, when they could have easily asked me, "How can we help you use our service in conjunction with your business and clients?" or "Is there any way for us to resolved issues that could generate success?" All they were concerned about was writing me off, collecting he $50 for no services rendered and that was that!
Beware of this business. It might seem lke they are offering a good service, but when it comes to any kind of caring support, expect a similar lack of empathy and caring energy. ZERO STARES for a ZERO COMPANY.

I usually don’t write reviews, but I want to save another salon owner the headache we’ve been dealing with.
We used Vagaro’s booking system for years and, for the most part, had very few issues. There were occasional inconvenient shutdowns for maintenance, but overall the booking system worked well for us.
That completely changed when we switched to Vagaro’s POS system about four months ago. It has not worked properly since we got it. It constantly cuts off in the middle of checking clients out, takes forever to load, and regularly goes offline. This is incredibly frustrating when you have a client standing at the front desk waiting to pay.
We have spent four months going back and forth with support. Their answer continues to be more troubleshooting, but none of the troubleshooting has actually fixed the problem. I have repeatedly tried to get a manager or someone with the authority to resolve this and refund us, but I cannot get anyone on the phone who can actually make that decision.
What makes this even worse is the processing fees. Because their POS system keeps going offline, we are being charged approximately 3.5% instead of the 2.6% rate we expected. Vagaro has acknowledged to us that the problem involves their third-party provider and that we are not the only business dealing with this issue. Yet they still will not honor the 2.6% rate while THEIR hardware/system isn't working properly, and they will not refund us for equipment that has not worked correctly.
We gave this four months and countless opportunities to be fixed. At this point, I’m tired of troubleshooting the same problem over and over while paying higher processing fees because of an issue we did not cause.
I really wanted this system to work because we had been with Vagaro for years. Unfortunately, I would strongly caution other salon owners before switching to their POS system. A POS system is something your business has to be able to depend on every single checkout, and that simply has not been our experience.

Used the free trial more than 4 months ago then went with another provider. Cancelled my trial. Forgot to delete the app. Logged in to find out what Vagaro app was a booking site for my business. I didn't authorize a payment to be taken from my account. Sent an email to their support team which I am still awaiting a reply. I am so very glad I didn't go with this provider because when you have a technical issue you will probably need a prompt reply from customer service.....this is not the case with Vagaro. Their customer service is shocking.

When you have an issue Vagaro will not respond for DAYS!! but they have time to post generic responses to these reviews. I have been trying to get an issue resolved for almost 3 weeks!! I cannot send ANY emails out without paying more because they show I have used mine for the month, when in fact NOT ONE EMAIL has been sent out. Good luck getting any issues resolved. Their team is passive aggressive, lazy and ZERO help. They even sent me a cc matching that DID NOT WORK and I spent a week troubleshooting with them and THEY COULD NOT GET IT TO WORK. Then REFUSED to let me send it back because "they don't take returns" ON THEIR OWN EQUIPMENT THAT THEY COULD NOT GET TO WORK EITHER!!! They are RIDICULOUS!!

TERRIBLE!!! 1st of all this site sucks on the daily but has been even worse since they did an update a few weeks ago. I STILL cannot sent emails for promotions. We had a HUGE Back to school campaign set to run and go out to over 9000 customers. It did not go....BUT THEY CHARGED ME FOR IT. I have been dealing with Jackie (who responds generically every 3 or 4 days) and tells you what you want to hear and yet nothing gets done. I had to pay $120 to send out a TEXT promo to just a few people where i could have sent out the 9000 EMAILS for around $30. Jackie told me weeks ago she would have the "push" the emails through, and she did not. So here I am, unable to send any promo/correspondence to my customers for almost 3 more weeks unless i want to purchase MORE email credits, even though none of my emails have gone out since JULY 3...it's Aug. 24th.... waste of time, frustration and greedy company who refused to take accountability for anything. USE SOMEONE ELSE!!!!!!!!!! Our customers are continuously frustrated with the way it glitches and will send them code after code after code and still not let them login.

I’m incredibly disappointed with Vagaro’s new Vera Fill My Books feature and the changes surrounding the Marketplace.
We chose Vagaro because we were happy to pay a monthly subscription for our booking and salon management system. Until now, being visible when customers searched Vagaro was part of the value of using the platform.
We have chosen not to participate in Vera Fill My Books because Vagaro now takes 20% from first-time customer bookings and 5% from existing customer bookings generated through the feature.
Since opting out, we have discovered that our salon appears to have completely disappeared from Vagaro Marketplace searches. We have searched ourselves as customers and cannot find our business.
This is the part I find particularly unfair.
We are still a paying Vagaro business. Why should declining a commission-based marketing feature mean losing the basic visibility we previously had on the platform we already pay to use?
There is a huge difference between:
“Pay 20% and we’ll promote you higher in search results.”
and
“Pay 20% or you won’t appear in the Marketplace at all.”
I would have absolutely no issue with Vera businesses receiving additional promotion, priority placement, last-minute advertising or email marketing. That’s what an optional paid marketing product should provide.
But businesses that choose not to participate should surely still have their normal organic Marketplace listing.
For a salon, 20% is not a small marketing fee. On a £150 colour appointment, that’s £30 before we’ve paid VAT, wages, colour/product costs, rent and every other overhead involved in providing that service.
We have been loyal paying Vagaro customers and have built our own client base, reputation and reviews. It is extremely disappointing to feel that we’re now being asked to choose between giving up a significant percentage of our revenue or becoming effectively invisible within the Vagaro Marketplace.
I really hope Vagaro listens to the businesses using the platform and reconsiders this.
Keep Vera as an optional promotional tool — but restore organic Marketplace visibility for businesses paying their monthly Vagaro subscription.

The only thing I liked about them is they forwarded my service content from different platform. they secretly charged me $10 extra for a cart when I don’t have online store. When I went to cancel they told me they couldn’t give me my money back. I could understand the base pay but why the extras I never used

Hello Fred,
My name is Stacey, and I support Roland Turner, President of Pamper Me Please Travel Spa. We have been a Vagaro client since June 2024.
After evaluating several POS systems through multiple meetings and demonstrations, we ultimately selected Vagaro because we believed it was the best solution for our business. Unfortunately, our experience over the past year has been marked by ongoing technical issues, system failures, and an inability to obtain timely executive-level support when problems arise.
Some of the issues we've experienced include:
Faulty hardware that ultimately had to be replaced.
Multiple system outages during peak business hours, forcing us to process transactions through Square because we were unable to check clients out using Vagaro.
Numerous payroll issues, particularly in the beginning, where payroll did not process even after it had been submitted.
An unresolved issue dating back to April where our client health waiver forms do not appear on the customer-facing screen, requiring us to maintain paper copies despite repeated requests for assistance.
Today, however, was particularly concerning.
I was notified that one of our contractors had not been paid. After investigating, I discovered that although the contractor worked July 25–31, those services were not included when payroll processed. As a result, the contractor was not paid today.
When I contacted Vagaro for assistance, I was unable to reach a live representative and instead had to leave a voicemail. This left me in the unfortunate position of having to tell one of our contractors that I could not even speak with someone until the following day—and even then, there was no assurance the issue would be resolved.
This raises several concerns:
How are businesses expected to operate when critical payroll or POS functions fail and immediate support is unavailable?
What escalation path exists for customers experiencing business-critical system failures?
Why have there been so many outages, downtime incidents, payroll errors, and unresolved technical issues throughout our time as a customer?
As an airport business, our operations depend on reliable technology. When the POS system fails, we are checking in travelers who are on tight schedules, processing payments, managing appointments, and ensuring our contractors are paid accurately and on time. These recurring issues directly impact our reputation, our employees, our contractors, and our customers.
At this point, we are requesting that someone with the authority to resolve these ongoing issues contact us directly. We need a dedicated point of contact who can help address the recurring problems and ensure our business has the level of support we expected when choosing Vagaro.
We invested in Vagaro because we believed it would help streamline and grow our business. Instead, we've spent an inordinate amount of time troubleshooting issues that should not continue to occur.
I appreciate your prompt attention to this matter and look forward to hearing from you soon.

This company does not care about small businesses. They allow you to open an account and process sales, and then can subsequently tell you the product you are selling is not supported and refund all your customers leaving you out thousands of dollars. Their support does not get back to you fast, and when they finally do, they will say they their decision is final and have a nice life. Their practices are not only unethical, but completely asinine. If they want to claim your account is on hold until you confirm what product you are selling, then you should not be able to use your account to process sales. This would avoid all of the trouble and hardship they are causing to small businesses. They are the direct cause of the loss of money and inventory, and if they had implemented common sense business practices this would all be avoided.

Clients can never book! I have been told 8 times this week alone that they haven't been able to book. This week alone. I have googled this and can see this is a common problem with Vagaro. So incredibly frustrating as now having to look for another platform and all of the work it takes to do that. - regarding all of their 5 star reviews - whenever you talk to customer support they ask you every single time to leave a review - you could simply ask them how to find the client list in the app - once they tell you, they then ask you to leave a review that they are helpful....hence all the good reviews, many which I left myself which I've now gone back and deleted.

I would not recommend Vagaro to any business that cares about flexibility, transparent pricing, or being able to leave without a headache.
Migrating away from the platform has been incredibly tedious. The process feels unnecessarily difficult, almost as if the system is designed to discourage you from leaving once your business is fully set up inside it. Instead of making data portability and transition support straightforward, the experience has been frustrating, slow, and full of friction.
Support has also been disappointing. When you need real help, the responses feel passive and unhelpful, with little urgency or ownership. For a platform businesses depend on daily, that lack of practical support is a serious problem.
The pricing is another major issue. Vagaro seems to charge extra for almost every feature, and the costs add up quickly. Multi-location pricing is especially frustrating because they appear to treat each location almost like a separate business, even when it is part of the same company. That structure makes the platform feel overpriced and punishing as you grow.
Overall, Vagaro may look convenient at first, but the long-term experience has felt expensive, restrictive, and difficult to move away from. I wish we had understood the lock-in and pricing structure more clearly before committing.
EDIT SEP 3, 2026:
Vagaro sent me a supposedly “free” credit card reader. I never activated it or used it.
At one point, I contacted Vagaro to return the reader and was told they would not accept it back. Since it was never activated, I had no use for it, and they refused the return, I eventually disposed of it.
Now, when trying to cancel my Vagaro account, I’m being told I must pay $140 CAD for this “free” reader before they will allow me to cancel. Apparently, buried in the terms and conditions is a requirement that the reader must be used for one year or you become responsible for its cost.
What makes this especially frustrating is that I actually tried to return the device and Vagaro refused to take it back.
So I’m now being charged $140 for a device that was presented as free, that I never activated or used, and that Vagaro themselves would not allow me to return.
This is an extremely disappointing way to handle a long-term customer who is simply trying to cancel their account. Be very careful when accepting any “free” hardware from Vagaro and make sure you read every condition attached to it.

I don’t normally leave reviews, but Owen absolutely deserves one.
I contacted Vagaro at what was already a very stressful time for my business. I had genuine concerns about marketplace fees, protecting my existing booking links, and making sure years of marketing materials, Google listings, business cards and signage wouldn’t suddenly become obsolete.
Rather than giving me a generic customer service response, Owen took the time to really listen and understand the situation. He kept me updated throughout, escalated my concerns directly to the CEO and product team, and worked incredibly hard to find a solution that protected my business.
Thanks to Owen, the changes were implemented so I could leave the marketplace without affecting my direct booking link, exactly what I had been hoping for. He also made sure other issues, including outdated branding, were resolved quickly.
It’s rare to find customer service where someone genuinely takes ownership of a problem from start to finish. Owen’s communication was excellent, he always kept his word, and I genuinely felt he cared about getting the right outcome rather than simply closing a support ticket.
Thank you, Owen. You turned what could have been a very frustrating experience into a positive one, and you’ve restored my confidence in Vagaro.

I onboarded with Vagaro in June/July and was assigned to Carl to look after me during the set up process.
I wanted a system that would allow customers to book my head spa services at any time as I also work full-time in the ambulance service and there's no way I could manage a physical diary! The system integrates with my payment system and reviews.
The system has loads of great features that you can get as much or as little as you want out of - it has a free marketing system which allows you to email customers before their appointment/after or to send a general marketing email. These can be designed from existing templates or fully customised.
I use the forms feature to handle all my consultation and consent forms and that works great, the form was easy to design and set up, forms are sent to customers and I'm notified when they're complete.
Overall the system does has loads of great features that are really worth the money - but best of all was the customer service I received from Carl. We had 3 or 4 one to one video call sessions where he walked me through how to set the system up - showing me the features and letting me ask questions as we went. He was on hand for any teething problems I had via WhatsApp and replied really quickly - like within minutes (in working hours of course!) which as a brand new business owner with zero head space left was invaluable.
Customers tell me they like the booking system itself and find it easy to use. They really like the automated email I've set up to send prior to their appointment which gives them all the info they need about location and what to bring etc.
Overall I'm really happy with my choice to go with Vagaro, it's a great system packed full of features and the customer service is second to none.

Overcharged on fees, overcharged on marketplace fees when it had been turned off so my 5th complaint goes in.
Only ever had a handful of new clients from their marketplace until they started charging 20% then had loads in a few days.
Hours and hours of stress and extra work finding charging discrepancies that was costing us.
Functions are glitches, it goes down a lot, they try to blame you for their system problems until your prove it's them.
The system needs workarounds all the time to make things happen. I have spent more money on admin to find ways to make what should be standard things work. This system had cost me upwards of £200 a month and isn't fit for purpose and support will just try to push back to you when you complain. Avoid

Every time I try to make or reschedule an appointment, it tells me I have multiple tabs open on the same browser and won't let me continue. I have no other tabs open, have cleared my cache and also restarted my computer. I have had this issue on a laptop, desktop and on my phone. I waited on hold for 20 minutes with customer service, and then they had no solution and asked to remote into my computer. Not happening. I've found another similar business to work with for my training sessions since I don't have endless amounts of time to schedule an appointment through Vagaro.

I received a marketing email today from Vagaro having never signed up to them. I tried to unsubscribe following the link at the bottom... but it takes you through to a page where you need to create an account in order to unsubscribe. I'm quite sure this illegal in accordance to GDPR UK regulations. Vagaro, pls fix this.

I have to say for someone like myself who has very high standards and only like to work with systems & people who are on it, Vagaro has been an amazing transition and Liam I highly recommend as someone who can mega support with making everything fast, yet completely seem less, smooth and enjoyable. It is always a big deal changing over systems particularly when you have used another system for so long as I did with treatwell, but Vagaro is by far a much more versatile and superior system and has been very well thought through for us salon owners, not to mention the customer care which has genuinely been second to none. Thank you again and again Liam for being amazing and for thinking outside the box and making sure that everything I requested was delivered with such speed and grace.
