Constant bugs and unhelpful service

Filled with constant bugs, the system pushes out nonsensical errors that will either have zero impact on processes, or will bring everything to a grinding halt. Recently, key functions of the invoicing module have fallen apart leading to a freeze in our invoicing process in the middle of our month end close preventing export of invoices.

Like many start-ups, they refer you to a frustrating "AI" chat bot that doesn't understand its own system giving outdated or false answers when facing real issues.

Communication with customers regarding potentially massive issues is non-existent leading to complete freezes in processes. Avoid at all costs unless you are willing to pay for the therapy of the unfortunate employee who will have to handle administration of Yokoy in your company.

Oh please. The first of perhaps many name-changes...

Yeah, great. Now, my Yokoy password won't work any longer. I'll contact one of the last of our backoffice-members; several have chosen to leave because they were basically being made redundant by Yokoy. And when asked for help, they will tell me (they actually did) that they have been instructed NOT to help me unless I REALLY don't make it on my own to do my abroad-travel digital paperwork. I told one of these guys - "I'll keep crashing into your office every 5 minutes if I can't work it out by myself". He gave in within 10 minutes, helped me, and found out I couldn't have done it myself in the first place - because of certain "rights" that weren't assigned to me yet. AI is an absolute pest; but I guess we'll need to somehow deal with it. Thank goodness I do specialized physical metal-work on a microscopic scale. AI can't replace that.

The entire process from onboarding to…

The entire process from onboarding to service was dismal. The team prolonged technical integrations for 11 months, and once the platform was live would take weeks to find a resolution. As we were with a three year contract, there was no room to cancel.
Most recently with the acquisition by TravelPerk the service has degraded further. We were not assigned or communicated a customer success manager and therefore, the emails to discuss renewal terms were ignored until 7 days after the auto renewal date. The customer service representative sent a patronizing email stating we were too late and it was just too bad. The service of both TravelPerk and Yokoy should be avoided at all costs, neither care about the clients or businesses they represent.

processes can be very frustrating

I find it very unfortunate that there is no helpline. When addressing problems it takes up to more than a day and even though sending screenshot s a solution could not be found. Matched receipts were unmatched by the system a day later without any reason and when doing a lot of matches the system after a while blocks and is unable to upload data. Also same invoice type gets matched 8 times in a row but then for the 9th and the 10th invoice it says amount not matching - although it matches perfectly.

Top tool

I wanted to express my appreciation for the travel expenses management tool we are currently using. I have found it to be highly advanced and user-friendly, which has greatly improved our ability to manage our travel expenses efficiently.

In addition, I have also been impressed with the fast and responsive service and support provided by the tool's vendors. Their attention to our needs has been greatly appreciated.

I also think that the ability to merge with other providers is a significant advantage, as it has streamlined our overall process.

Thank you for your continued efforts in maintaining and utilizing this tool.

Ok tool for expenses, rest needs improvement

The system itself is great for expenses (incl. Travel expenses) and credit card reconciliation.
The invoice module is unfortunately no help in the daily business and the solutions in the market through the given ERP systems are way more streamlined and "accounting" friendly. It's just for convenience of approval flows, because you can use the same approval structure in expenses and in invoicing. However therefore it's very limited and can lead to blockers, as invoices and expenses might not have the same approval logic behind.
Support was unfortunately very slow in answering my tickets and couldn't come up with a solution.
(I still get please be patient mails for a ticket I wrote in Feb, it's May now).

All in all ok tool for expenses and travel expenses.

Good Solution for Invoices, Expenses and virtual credit Cards. Easy to use, directly connected via API to Datev. As far as I can compare it, YOKOY is the best solution in the market.

Make you life easier

implementing Yokoy was very simple and we were able to automate all exchanges between our ERP and Yokoy, transforming the tasks carried out by the accounting team from data entry operator to analyst. The user-friendly aspect was important for change management and acceptance of the tool within the company. I recommend the tool, it makes everyone's life easier.

Smooth implementation

We implemented Yokoy at our company and we couldn't be happier.

The implementation process was very smooth, and they helped us set up all the categories and create custom approval workflows as needed.

The app is super easy to use, and the web version for admins is very intuitive. Managing things like user permissions and expense exports is quick and easy.

It's been a huge improvement to our expense processing and has made things easier for HR, Finance and employees alike.

Probably the worst app Iv ever used for…

Probably the worst app Iv ever used for recording my mileage. Multi trips a joke having to put in Day and time on each leg of the journey to then find it won’t accept your time and date even though it’s all correct. Other apps so far ahead I wish my company hadn’t used Yokoy for this it may be good for other things but definitely not mileage expenses

It might be useful to know, too, that an update is being rolled out in the next two weeks which will auto-populate the date and time of each leg of your trips based on the end date and time of the previous leg — this should prevent you having to enter the details manually and make the process simpler moving forward.

The tool is working quite well

The tool is working quite well. There are some doubts regarding the functioning, but it is being perfectly solved by Yokoy's IT team. Some things could be improved, for example a person could have more than one superior (person who approves the expenses) at the same time, because sometimes we encounter some role conflicts. Regarding credit/debit cards, we are having some problems with the payment in the USA (although it usually works fine). I have noticed that in credit card transactions, the system allows to match a partial payment with the total of the invoice and then it is not possible to match the rest of the partial payments with the same invoice, (this can be solved by matching the partial payment with an expense without a receipt and then attach the receipt to it).

Overall, we are quite happy with the tool, and the staff at Yokoy have been very good to deal with.

Certain filter functions are seriously missing

Expenses that need to be charged to a client cannot be managed easily. There should be an option to link expenses directly to a client.
For me there is not much to say except the expectation of being able to link virtual cards to Apple pay.
It is also quite good to integrate with the ERP system.
